A new piece comes home with its box, receipt and a story. That is a useful moment to create its record, before the packaging is put away and the invoice becomes harder to find.
Whether the occasion is Diwali, Akshaya Tritiya, Onam, Chinese New Year or a family wedding, use the same routine:
- Photograph the complete piece before storing it.
- Capture the marking and clasp clearly.
- Copy the documented purity and weight from the receipt.
- Save the invoice beside the correct item record.
- Record the purchase amount in its original currency.
- Add the occasion and date, if you want to preserve the story.
- Check that the images are readable before finishing.
If several pieces appear on one bill, give each one a separate, recognisable name. For a gift without a receipt, record what you know and leave the rest for follow-up.
A same-day routine also helps distinguish a new purchase from an exchange or alteration. Review any older record affected by the transaction so the inventory still describes what you have.
