A filename should help relatives recognize a document without exposing more personal information than needed. A neutral item label, document type and date are often enough. Avoid putting full names, addresses, account details or sensitive family stories into filenames that may appear in backups or shared folders.

Choose a simple pattern and write it down, such as item label, document type, then date. Keep dates consistent and use words that family members understand. If a detail is uncertain, do not encode it into a filename as though it were confirmed. Use a temporary label until the family can check the source.

Apply the same pattern to copies, but make clear which file is the original scan and which is a working copy. Do not rename the only original if that might make it harder to find or match with its paper version. Keep the index that explains labels in a suitable private place.

Neutral filenames support browsing and reduce accidental oversharing, but they do not control who can access a folder. Review sharing settings separately and share only the files a relative needs. A good naming habit should make records easier to understand while keeping personal details out of everyday file lists.
