Separate Family Memories from Documented Details

A jewellery record may bring together paperwork and family memories, but those sources do not have the same role.

A jewellery record may bring together paperwork and family memories, but those sources do not have the same role. A receipt can show what is printed on a transaction document. A relative may remember who wore a piece or when it appeared at a family event. Keeping these notes distinct makes the record easier to read.

Use a simple source label beside each detail, such as ‘receipt says’ or ‘family note from Auntie’. If two accounts differ, retain both with their sources instead of choosing one without evidence. Leave uncertain dates or names open. A clearly marked unknown is more useful than a confident-looking detail that no one can verify.

Keep personal stories in a separate notes section from measurements, visible descriptions and paperwork references. Ask permission before including a relative’s private story, especially if the record may be shared beyond the immediate family. Keep only the detail that helps family members understand the item’s history, and avoid adding sensitive information without a reason.

Review the record when new documents or recollections appear. Add the new source and date, but do not silently overwrite the earlier note. This approach respects family memory while showing readers what is supported by a document, what comes from a person, and what still needs confirmation.
