A family may keep jewellery photos and notes in more than one place. When making a copy, add a clear date to the copy name or index so everyone can tell which set was made most recently. A date is a simple reference; it does not by itself prove that every file copied correctly or that the copy is secure.

Pick a naming pattern that is easy to repeat, such as the collection label followed by the copy date. Keep the original files until you have opened a few items from the new location and confirmed that the images and documents are readable. Avoid making a chain of names such as final, final-new and latest, which can create uncertainty.

Write a short note about where the copy was placed and who in the family knows how to find it. Keep that note at a level of detail suitable for the people who need it; avoid putting passwords, home addresses or sensitive storage details into a general inventory document.

Review the copy after major updates rather than making many confusing versions. If a family member helps, agree which folder is the working set and how new changes are recorded. A dated backup routine supports organization, but it should not be described as a guarantee against loss, damage or unauthorized access.
